Public event registration page software for branded attendee intake

Give prospective attendees one Event-specific place to read key details, complete a configurable Registration Form and submit their information. QRGATE connects the public Registration Page to a controlled Guest List workflow without confusing registration with ticket sales, admission or Check-in.

Choosing public event registration page software is not only about publishing a form. Event organizers also need to present the Event clearly, collect the right attendee information, manage opening and closing dates, account for capacity and share the same public page across email, websites and printed materials.

The operating model matters just as much. A public submission should remain a Registration record until the relevant verification and Guest List rules are satisfied. That separation gives event teams a clearer route from new attendee intake to the later Invitation, RSVP, QR Ticket and validated Check-in workflow.

What to look for in a public event registration page

Before comparing platforms, define the public intake experience and the internal workflow that follows it. A suitable solution should let your team place the Event name, branding, timing, venue or other relevant information in the same Event context as the Registration Form. It should also support a clear hand-off from submitted attendee data to the organizer-managed Guest List. For a hypothetical corporate event, the team might need one public link for a company website, a QR code for printed signage and a form that asks for company, position and several event-specific choices. The team may also want to show availability while retaining control over which submitted attendees become Guests. These are separate decisions that should remain visible in the workflow.

  • Event-branded page with Event details and organizer-defined Registration Information
  • Standard attendee fields plus configurable custom questions
  • Registration opening and closing dates
  • Maximum capacity measured by attendee count
  • Optional public availability display
  • A public URL, downloadable Registration QR code and copyable website button HTML
  • A defined Manual or organizer-enabled Automatic Guest List transfer policy

Why a standalone form or spreadsheet may fall short

A generic public form can collect answers, but it may leave the Event context, capacity rules and next operational steps to separate documents or manual work. An organizer-managed Excel import has the opposite limitation: it is useful when the team already controls the Guest List, but it does not itself provide a public page for collecting new attendee details. When intake is split across a form, email threads and spreadsheets, teams may need to reconcile names, answers, verification status and duplicate submissions manually. Guests can also receive unclear instructions if Event information and registration instructions are presented in different places. QRGATE is designed for teams that need public intake and organizer control in the same Event-centred platform.

  • Use a public Registration Page when attendees need to submit their own details.
  • Use organizer-managed creation or Excel import when the team already has a controlled Guest List.
  • Use both routes when an Event includes public registrations as well as pre-approved or imported Guests.

Create an Event-branded public Registration Page

QRGATE’s optional Event Registration module provides a responsive public Registration Page for an Event. The page can use the Event’s branding and logo, Event name, date and time, relevant basic information, and a text block written by the organizer. This keeps the attendee-facing context and the Registration Form together. The organizer can enable or disable Event Registration at Event level. When enabled, QRGATE provides the public Registration URL and administration actions for opening or copying the link. If Registration is disabled, the public route can show an Event-branded unavailable state rather than suggesting that a submitted form has been accepted. Organizer-entered Event and Registration Information content remains in the form entered by the organizer. QRGATE does not automatically translate that content.

  • Present the Event identity before the form.
  • Add practical instructions, programme information, participation fee information or external payment instructions in the Registration Information block.
  • Keep the public Registration layer separate from the later Guest, Invitation and Check-in objects.

Collect individual or multi-attendee registrations

A public event registration form should match how people actually register. QRGATE supports individual Registration as well as group Registration managed by a verified Registration Contact. One Registration Contact can add one or more attendees for the same Event, which can suit a company coordinator, secretary, HR representative or event contact registering colleagues. Each attendee remains a separate Attendee Registration record. Their answers, status, calculated price snapshot and Guest List conversion state remain attendee-specific. If the workflow later transfers them to the Guest List, each person can become a separate Guest with their own Invitation, RSVP, QR Ticket and Check-in history. QRGATE also supports secure email verification and attendee self-claim. A contact-added attendee can later claim their own Registration by verifying their email address. Contact verification provides a valid registration basis for eligible transfer, but it does not mean that every attendee’s own email address has been verified.

  • Use standard fields such as name, email, phone, company, position, comment and optional billing information.
  • Add Short text, Long text, Yes/No, Single choice, Multiple choice or Checkbox questions with supported required, help text and ordering settings.
  • Prevent a second attendee Registration from being created for an email identity already present in the same Event.
  • Export Registration data, including supported custom answers, at attendee level.

Control registration dates, capacity and availability

QRGATE lets organizers configure when the public Registration Form opens and closes, together with a maximum attendee capacity. Capacity is measured by attendees, not Registration Groups. If one Registration Contact adds five people, those five attendees use five capacity places. The organizer can optionally show capacity information publicly. For example, a hypothetical page could display 120 of 300 attendee places used and 180 places available. The team can also keep the maximum capacity active without displaying the numbers publicly. The final capacity check is enforced by the backend, including concurrent submissions. In the normal capacity calculation, New and Approved attendees use capacity, while Rejected and Waitlist attendees do not. Waitlist is a supported Registration status; automatic waitlisting is not presented as a QRGATE capability.

  • Set Registration opens and Registration closes for the public intake period.
  • Choose whether to show remaining availability on the public page.
  • Plan capacity around individual attendees rather than group submissions.
  • Review Registration status and conversion state before moving eligible records to the Guest List.

Share the page through a URL, QR code or website button

Once Event Registration is enabled, QRGATE provides a public Registration URL for the Event. Teams can copy the link for email or digital communications, generate and download a Registration QR code for printed or on-site materials, or use copyable HTML anchor button code on their own website. The website option is a link or button that points to the Public Registration URL. It is not an iframe-based form embed. The Registration QR code also has a specific purpose: it opens the public Registration Page. It is not a Guest QR Ticket and does not grant entry to the Event.

  • Use one public URL across event emails, web pages and campaign materials.
  • Download a Registration QR code for physical signage or invitations.
  • Copy the provided HTML `<a>` button code and adjust its label or styling on your own website.
  • Keep the Registration QR code separate from the QR Tickets used later in the Guest Check-in workflow.

Connect Registration with Guest List management

QRGATE treats a public submission as a Registration first, not as an immediately admitted Guest. The Registration layer holds the submitted attendee information, answers, verification basis, status and conversion state before the Guest workflow begins. Manual Guest List transfer is the default. The organizer can review eligible Registration records, set the appropriate status and use the Add selected to Guest List workflow. QRGATE validates the Event, permissions, status, verification basis, email uniqueness and duplicate conversion protection before creating and linking the Guest record. An organizer can enable Automatic Guest List transfer for an Event. This remains a controlled policy: only eligible Registrations with a documented verification basis can transfer. Automatic transfer does not send an Invitation automatically. After transfer, public Registration editing is locked and the normal lifecycle continues: Guest, Invitation, optional RSVP, QR Ticket and validated Check-in.

  • Event and Event Registration Settings define the public page, form, timing, capacity and transfer policy.
  • Registration Group, Registration Contact and Attendee Registration keep group and individual identities structured.
  • Guest List receives eligible attendees through Manual transfer or organizer-enabled Automatic transfer.
  • Invitation, RSVP, QR Ticket and Check-in remain later, distinct operational stages.
  • The Registration-to-Guest relationship and conversion state remain available for operational tracking.

A practical public registration workflow for event teams

A clear workflow helps organizers decide where public registration ends and guest operations begin. The following sequence is suitable for a hypothetical conference, corporate event or association gathering: 1. Create the Event and configure its branding, basic information and Event Registration settings. 2. Write the Registration Information block and choose the standard fields and custom questions required from attendees. 3. Set opening and closing dates, maximum attendee capacity and whether public availability should be displayed. 4. Decide whether Manual transfer will remain the default or whether the Event should enable Automatic transfer for eligible Registrations. 5. Publish the URL through email or a website button, and distribute the Registration QR code through suitable printed materials. 6. Review Registration status, verification basis, group relationships and custom answers in the Registration list. 7. Transfer eligible attendees to the Guest List manually, or allow the configured Automatic workflow to handle eligible records. 8. Continue with the separate Invitation, optional RSVP, QR Ticket and validated Check-in processes. This sequence gives the public page a defined operational endpoint. It also leaves room for organizer-created Guests and supported Excel Guest List imports when some attendees are managed outside public registration.

  • Use Manual transfer when your team wants an explicit review step before Guest creation.
  • Use Automatic transfer only when the Event policy and verification basis fit your operating requirements.
  • Remember that Guest List transfer does not itself send an Invitation or authorize Event entry.

Benefits and boundaries to consider before choosing

The main benefit of this model is operational clarity. Structured fields reduce the need to reinterpret free-form email responses. Attendee-level records preserve individual identities within group registrations. Attendee-based capacity gives the team a more relevant view of places used. A preserved Registration-to-Guest relationship helps connect the original intake with later Guest operations. There are also important boundaries. QRGATE is not a public ticket marketplace, ticket sales platform or payment processor. It can support informational base pricing, currency, organizer-defined price suffixes, answer or option price adjustments and calculated price snapshots. It does not process online payments, authorize cards, settle funds or collect invoice payments. External payment instructions can be included in organizer-defined information, but that does not make QRGATE the payment provider. Before setup, confirm the Event details, registration questions, verification approach, capacity policy and Guest List review process. よくあるご質問

What is public event registration page software?

It is software for publishing an Event-specific public page where attendees can read Event information and submit a configurable Registration Form. A complete workflow also defines timing, capacity, sharing options, verification and what happens before a submitted Registration can become a Guest. In QRGATE, the public submission first creates a Registration record rather than immediately creating a Guest or granting entry.

Can QRGATE create a branded public Registration Page for an Event?

Yes. QRGATE’s optional Event Registration module provides a responsive Public Registration Page that can use Event branding and logo, Event name, date and time, relevant basic information and an organizer-defined Registration Information block.

Can I add custom questions to the Registration Form?

Yes. QRGATE supports a Registration Form Builder with Short text, Long text, Yes/No, Single choice, Multiple choice and Checkbox question types. Supported settings can include labels, help text, required or optional status, active or enabled state and sort order.

Can a Registration Contact register multiple attendees?

Yes. A verified Registration Contact can create a group Registration for one or more attendees. Each attendee remains a separate Attendee Registration with individual answers and conversion state. An attendee can later self-claim their own Registration by verifying their email address. Contact verification does not by itself verify every attendee’s email.

Does QRGATE process registration payments or sell public tickets?

No. QRGATE can calculate and display informational registration pricing using a base price, currency, organizer-defined price suffix and answer or option adjustments. It does not process online payments, authorize cards, settle funds, collect invoice payments or operate as a public ticket sales platform.

How does a public Registration become a Guest in QRGATE?

Manual Guest List transfer is the default. The organizer reviews eligible Registrations and transfers selected records after QRGATE validates the relevant Event, status, verification basis, email uniqueness and conversion rules. Automatic transfer can be enabled by the organizer for eligible Registrations, but it remains controlled by the documented verification and eligibility rules. Transfer does not automatically send an Invitation.

Can I share the Registration Page with a QR code or website button?

Yes. QRGATE provides a public Registration URL, a downloadable Registration QR code and copyable HTML `<a>` button code for a website. The QR code links to the Public Registration Page; it is not a Guest QR Ticket and does not grant Event entry. QRGATE’s documented website method is a link or button, not an iframe form embed.

Can the Registration Page show remaining attendee capacity?

Yes, if the organizer enables public availability display. Capacity is measured by attendee count rather than Registration Group count, so a group of five uses five attendee places. The organizer can also use maximum capacity without showing the figures publicly.
