Structured Event Registration for medical conferences

Collect structured medical conference attendee details without relying on notes

Use configurable Registration fields and custom questions to collect more consistent attendee information, keep every person in a separate Registration record and export answers in a structured Excel file.

Medical conference teams often need more than a name and email address. They may need event-specific information from each attendee, while keeping company contacts, individual participants and registration answers clearly connected. When those answers are buried in free-text notes or manually maintained spreadsheets, the registration team has to interpret, clean and re-enter information before it can be used. QRGATE’s optional Event Registration module provides a structured way to collect attendee details, manage multi-attendee registrations and prepare custom answers for Registration Excel export. It does not provide a prebuilt medical field library or medical compliance certification, so organizers remain responsible for deciding what information their event should request.

Why incomplete registration details become an operational problem

A generic registration form may capture only first name, last name and email. That can leave an organizer without the event-specific information needed for planning, communication or later review. Free-text notes create a different problem: two attendees may describe similar information in different ways, omit important context or place several answers in one paragraph. A team may then need to interpret every submission manually.

  • Guests may be asked to repeat information because their original answer is unclear or incomplete.
  • Registration coordinators may spend time checking notes, correcting spelling and copying answers into separate spreadsheet columns.
  • A group contact registering several people can make it difficult to see which answer belongs to which attendee if the data is not stored per person.
  • Unstructured answers are harder to review consistently and harder to use in a clean Registration export.
  • A registration submission is also not the same as admission: it must not be confused with a Guest record, QR Ticket or Check-in.

Why common manual workarounds fall short

Teams commonly add an open comment box, send a follow-up email, or maintain a separate spreadsheet after registration. These approaches can be useful as temporary controls, but they do not create a reliable structure by themselves. A note may contain several answers with no consistent labels. Email replies can arrive in different formats. Spreadsheet consolidation can introduce transcription errors or separate one company contact from the individual attendees they registered.

  • A single notes field does not enforce one answer per question.
  • Follow-up emails separate attendee information from the original Registration record.
  • Manual spreadsheet cleanup takes time and makes it easier to overlook missing or ambiguous answers.
  • A group registration may be represented as one conversation even though each attendee needs an individual record.
  • A form that collects data is not automatically a Guest List, ticketing or payment workflow.

What medical conference registration form fields can QRGATE support?

QRGATE’s optional Event Registration module includes standard attendee fields and a configurable Registration Form Builder. The standard fields include first name, last name, email, phone, company, job title or position, comment and optional billing information. First name, last name and email are always active and required as core identity fields. Phone, company, job title or position and comment can be configured by the organizer according to the Event setup.

  • Short text for concise answers.
  • Long text for more detailed responses.
  • Yes / No for a binary choice.
  • Single choice when the attendee should select one option.
  • Multiple choice when more than one option may apply.
  • Checkbox for a confirmation or selectable statement.
  • Help text, active or enabled state, required or optional state and sort order for supported fields and custom questions.

Plan medical conference registration questions carefully

The Product Brain does not document a prebuilt medical conference field library or recommend which professional, clinical or health-related information an organizer should collect. Treat the following as planning decisions for your team, not as QRGATE defaults or legally required fields: which identity and contact details are necessary, which event logistics questions are useful, whether company or position information is needed, and whether any sensitive or health-related answer is genuinely required.

  • Use a separate, clearly labelled question for each operational answer you need.
  • Add help text when an answer could otherwise be interpreted in more than one way.
  • Mark a question required only when your registration process genuinely needs an answer.
  • Review the wording, privacy notice and consent approach with the appropriate event, legal and compliance advisers.
  • Do not assume that a required field guarantees an accurate, complete or legally compliant answer.

How QRGATE keeps answers connected to individual attendees

Each public submission is stored as an Attendee Registration with its associated answers. This matters when a Registration Contact enters several participants for one medical conference. A verified Registration Contact can register multiple attendees when multi-attendee Registration is enabled for the Event, but each attendee remains a separate Registration record with separate custom answers, status and conversion state.

  • A Registration Contact can manage a group of attendees through one Registration Group.
  • Each attendee can later become a separate Guest if the documented eligibility and Guest List transfer rules are met.
  • An attendee can self-claim their own Registration by verifying their email address.
  • Registration Contact verification provides a valid basis for contact-added attendees, but it does not verify each attendee’s own email address.
  • The Event-level attendee email uniqueness rule helps prevent a duplicate attendee Registration for the same Event.

Registration Form Builder and Registration Excel export working together

The Registration Form Builder defines the questions and answer structure. The Registration records store the individual submissions. The dynamic Registration Excel export then brings standard information and custom answers into an attendee-level file. Custom questions created in the Form Builder can appear as separate export columns, helping the team review each answer without extracting it from a general notes field.

  • Standard information can include attendee identity, company, Registration Contact, verification state, Registration status and Guest List conversion state.
  • Custom questions can become their own export columns.
  • Multiple-choice answers can be exported in a structured, human-readable cell format.
  • The Registration export is separate from the Guest List export.
  • The export supports operational review, but it does not turn QRGATE into a CRM or a medical database.

A practical workflow for complete attendee data collection

A medical conference team could use the following workflow as a starting point. The exact questions, wording and privacy approach should be set by the organizer for the specific Event.

  • 1. Enable the optional Event Registration module for the Event.
  • 2. Configure the Registration Information text block, registration timing and any attendee capacity limit.
  • 3. Keep the required core identity fields active and add only the standard fields and custom questions the event needs.
  • 4. Choose the appropriate question type, add help text, set the order and decide whether each custom question is required or optional.
  • 5. Publish the Event-specific Public Registration Page or share its Registration URL and Registration QR code.
  • 6. Let an individual attendee submit their own Registration, or let a verified Registration Contact add multiple attendees when the group workflow is enabled.
  • 7. Use the documented email verification or Registration Contact verification basis. An attendee may also self-claim their own record later.
  • 8. Review Registration status, answers, verification state and Guest List conversion state. Manual Guest List transfer is the default; eligible records can be transferred by the organizer, or Automatic transfer can be enabled for the Event.
  • 9. Export Registration data to Excel when the team needs an attendee-level working file with custom answer columns.
  • 10. After an eligible attendee is transferred to the Guest List, continue through the separate Invitation, optional RSVP, QR Ticket and validated Check-in workflow.

What this approach can improve—and where the limits are

Structured collection does not guarantee that an attendee will provide a truthful or complete answer. It does, however, give the team a clearer operational model: one question can have one defined answer type, each attendee can retain an individual record and custom answers can be carried into separate export columns. That can reduce interpretation and re-keying work compared with relying on notes, while making it easier to identify which information still needs review.

  • Consistent question types make similar answers easier to compare.
  • Required custom questions make an unanswered item visible at submission time, although they cannot validate the truth of the response.
  • Separate attendee records preserve individual detail in group registrations.
  • Dynamic export columns reduce the need to manually split answers from free-text notes.
  • Capacity is counted by attendee, not by Registration Group, so one contact registering five people uses five attendee places.
  • QRGATE can calculate an informational registration price, but it does not process payments, settle transactions or provide public ticket sales.

Prerequisites and limitations to check before choosing QRGATE

QRGATE can support the structured Registration workflow described above, but organizers should confirm that it matches their complete process. Event Registration is an optional Event-level module. A public submission first creates a Registration, not an automatically admitted Guest. Manual Guest List transfer is the default, and Automatic transfer still depends on the documented eligibility and verification rules.

  • QRGATE does not document prebuilt medical, clinical, specialty or licensing field templates.
  • QRGATE does not provide documented medical-data compliance certification, a medical retention policy or sector-specific regulatory guidance.
  • Configurable privacy and consent settings do not replace the legal wording or policy decisions required for a particular conference.
  • Registration and calculated pricing are not payment processing or public ticket sales.
  • A Registration QR code links to the Registration Page; it is not a Guest QR Ticket.
  • If a required medical-specific field, compliance requirement or workflow is not documented, confirm it with support@qrgate.org.

よくあるご質問

What medical conference registration form fields can QRGATE collect?

QRGATE supports standard fields including first name, last name, email, phone, company, job title or position, comment and optional billing information. Its Registration Form Builder also supports Short text, Long text, Yes / No, Single choice, Multiple choice and Checkbox questions. QRGATE does not document a prebuilt medical conference field library.

Which attendee fields are always required in QRGATE?

First name, last name and email are always active and required as core identity fields. Phone, company, job title or position and comment can be configured by the organizer. Custom questions can be set as required or optional.

Can custom registration questions be marked as required?

Yes. Supported custom questions can have required or optional settings, along with a label, help text, active or enabled state and sort order. A required field helps prevent an empty answer, but it does not guarantee that the answer is accurate, complete or compliant.

Which custom question types does the Registration Form Builder support?

The documented production question types are Short text, Long text, Yes / No, Single choice, Multiple choice and Checkbox.

Can custom attendee answers become separate Registration Excel export columns?

Yes. Custom questions created in the Form Builder can appear as dynamic columns in the attendee-level Registration Excel export. Multiple-choice answers can be exported in a structured, human-readable cell format.

Can one Registration Contact register multiple medical conference attendees?

Yes, when multi-attendee or group Registration is enabled for the Event. A verified Registration Contact can add multiple attendees, while each attendee remains a separate Attendee Registration with separate answers and conversion state. Contact verification does not verify every attendee’s own email address.

Does a public Registration submission automatically become a Guest?

No. A public submission first creates a Registration. Manual Guest List transfer is the default, and only eligible Registrations can be transferred according to the documented verification and organizer rules. Guest List transfer also does not automatically send an Invitation or grant admission.

Does QRGATE provide medical-specific field templates or medical-data compliance certification?

These capabilities are not documented in the Product Brain. QRGATE provides configurable Registration fields and privacy or consent settings, but it does not claim medical-sector compliance certification, a specific retention policy or a prebuilt medical field library. Contact support@qrgate.org for unanswered product questions and consult the appropriate advisers for conference-specific requirements.
